Cold-Air Diffuser vs Reed Diffuser Fragrance Requirements
Commercial Scent Machines, Exact-Device Compatibility, Passive Wicking and HVAC Briefs Explained
A reed diffuser is a passive liquid-reed-bottle system. A commercial scent machine is an active oil-device-airflow-space system. Fragrance oil that works in one is not automatically approved for the other.
“Cold-air diffuser” is a commercial umbrella term rather than one standardized machine mechanism. A buyer must replace that label with an exact machine model, delivery mechanism, reservoir or cartridge, oil specification and installation.
Device compatibility comes before fragrance strength. A powerful-smelling oil can still feed poorly, atomize inconsistently, leave residue, conflict with the equipment specification or lose its identity under the programmed delivery and actual zone conditions.

What Does the Buyer Mean by “Cold-Air” or Commercial Scent Machine?
Buyers often use “cold-air diffuser,” “waterless diffuser” and “commercial scent machine” loosely. The actual release mechanism must replace the marketing label in the technical brief.
1. Pneumatic or two-fluid atomization
Compressed or pressurized air draws liquid through a feed path and breaks it into droplets at an atomizer or nozzle. Relevant variables can include air pressure, feed rate, nozzle geometry, tubing, viscosity, cleaning and restart behaviour. This is a typical cold-air mechanism, but not the only commercial scent-delivery format.
2. HVAC-connected atomization
A device atomizes fragrance and introduces the output into ducted airflow. HVAC connection describes the installation as much as the release mechanism. Injection point, airflow, operating hours, target zones, filtration and maintenance access become part of the approval.
3. Stand-alone fan-assisted commercial system
A stand-alone unit may combine atomization, evaporative media or another release method with a fan. Placement, fan output, room geometry, programmed cycle and local hotspots matter, but the underlying release mechanism still needs to be identified.
4. Dry-air evaporative cartridge
Some systems use a closed or semi-closed cartridge, fragrance media and programmed dry-air flow. This belongs to the broader commercial scent-delivery market and should not automatically be treated as an open-reservoir pneumatic diffuser.
5. Ultrasonic water system
Ultrasonic systems may also be marketed as cool-mist or no-heat devices, but they commonly use water and piezoelectric vibration. They should not be silently grouped with waterless machine-oil systems.
The buyer brief should identify the manufacturer, exact model, delivery mechanism, reservoir or cartridge, stand-alone or HVAC installation and manufacturer oil specification.

If the same scent has already succeeded in a manual room spray but fails after moving to passive reeds, use the spray-to-reed failure diagnostic before treating it as a machine-oil problem.
Device Compatibility Comes Before Fragrance Strength
Equipment manufacturers may specify proprietary oils, approved carriers, a viscosity or flow window, a cleaning solution, cartridge rules or warranty restrictions. These requirements show that machine, oil and maintenance are treated as one system. They do not prove that every machine needs proprietary oil or that one manufacturer's specification applies to all devices.
There is no universal scent-machine viscosity; use the exact manufacturer specification or validate the oil in that machine. Machines differ in pressure, nozzle, feed path, pump, geometry, temperature, cycle and cartridge design.
Particles, crystals and recurring deposits can interrupt feed, destabilize atomization, impair restart or increase maintenance. Filtration may remove particles already present, but it cannot automatically fix phase incompatibility, repeated crystallization, unsuitable flow, recurring residue or material incompatibility.
Visible short-term stability does not approve long-term compatibility with tubing, seals, reservoirs or cartridge materials; follow the equipment manufacturer's materials and compatibility requirements.
During a trial, record leakage, swelling, softening, discoloration, residue or obvious surface changes, but do not treat the absence of visible short-term damage as full materials approval.
Concentrate, Finished Machine Oil or Cartridge?
Before sampling, define the supplied product form.
· Fragrance concentrate: an olfactive concentrate that still needs incorporation into an approved machine-oil system.
· Finished machine oil: a liquid designed or validated for a defined device or device family, with its carrier, flow and test conditions recorded.
· Proprietary refill: a consumable controlled by the equipment supplier's refill, cleaning and warranty policy.
· Cartridge fill or fragrance media: a format for a closed or dry-air system that cannot be judged by open-reservoir atomizer rules.
"Cold-air fragrance oil" is a finished application specification, not merely a fragrance name.
Why Stand-Alone and HVAC Projects Need Different Briefs
A stand-alone machine is usually assessed around one placement, one room or a defined local zone. The brief should include room volume, ceiling height, doors, placement, fan or output setting, schedule, hotspots and maintenance access.
An HVAC-connected project needs additional building information: target zones, HVAC operating hours, available airflow data, injection location, supply- and return-air context, entrances, occupancy, filtration, unscented areas and maintenance responsibility.
HVAC scent performance belongs to the oil, machine, installation, airflow and space - not to the fragrance oil alone. The same machine and oil can perform differently when doors open frequently, airflow is uneven or the HVAC shuts down.
A fragrance supplier can review scent-performance feedback, but qualified equipment and building professionals remain responsible for installation and engineering decisions.

A commercial scent collection should define whether it needs one finished oil, one concentrate, one recognizable identity or only one consumer story.
Run a Controlled Machine-Oil Test
Stage 0 - Equipment brief
Record the manufacturer, exact model, actual delivery mechanism, reservoir or cartridge, stand-alone or HVAC installation, approved oil form, carrier or flow requirements, cleaning method, warranty restrictions and available output controls.
Stage 1 - Physical screen
Record oil code and lot, appearance, manufacturer-relevant viscosity or flow property, sediment, crystals, phase stability, colour and required storage or cool-condition behaviour. Use manufacturer-approved materials and compatibility requirements; document visible changes without treating a short trial as long-term materials approval.
Stage 2 - Device screen
Hold the exact machine, reservoir or cartridge, setting, cycle, placement and room condition constant. Record start-up, feed or atomization consistency, start and end reservoir mass, leakage, deposits, nozzle or tube condition, restart after idle, cleaning/changeover and abnormal alarms or sound.
Reservoir mass loss shows system consumption under the test conditions; it does not directly measure the amount of fragrance delivered into occupied air.
Stage 3 - Space validation
Record the actual zone, HVAC state, doors, schedule, intensity at defined points, hotspots, dead zones, after-off decay, maintenance interval and scent identity at the programmed airborne delivery and actual zone conditions.
Scent acceptance, odor complaints, discomfort reports and hotspot comments can be recorded as operational feedback. They do not replace formal indoor-air risk assessment, VOC review, worker-exposure requirements or local regulation.
Stage 4 - Repeatability
Confirm the result with another oil lot, repeated schedule, stable restart and cleaning interval, and another device or installation where relevant.
Approve the oil in the exact machine and installation - not from a viscosity number, raw-oil smell or generic cold-air label.

Category 10A and Category 12 Are Different Intended Uses
Under current public IFRA guidance, reed diffusers and non-cartridge liquid air-freshener refills fall under Category 10A. Air-delivery systems, scent-delivery systems using dry-air technology and automated closed or cartridge systems fall under Category 12.
The exact intended use and fragrance-specific certificate must still be checked. Category 12 does not mean unlimited device output, indoor-air approval, HVAC engineering approval, VOC compliance, worker-exposure approval or equipment compatibility.
